Overview

This article includes frequently asked questions about the duplicate candidate functions. To date these are:

  1. When I click on the 'Duplicates may exist' icon, why do extra candidates appear?

1. When I click on the 'Duplicates may exist' icon, why do extra candidates appear?

The duplicates may exist icon appears automatically when the candidates have the same first name and last name information.  However, when you click on the 'duplicates may exist' icon to view the potential duplicate candidates, there may be other candidates included in the results who do not have the 'Duplicates may exist' icon applied.  This is because the click-to-view feature uses the SnapHire name search (i.e. Candidates tab \ Refine this search \ 'who have name, preferred name, email address or phone number' option) so it may find other candidates whose profile includes the same name details. 



2. Why has the 'Duplicates may exist' icon reappeared?

If the 'duplicates may exist' icon has reappeared it is because there is now another candidate who has the same values for first and last name.  For example; a new candidate profile has been created which is a match, or an existing candidate profile has now been updated and it is now a match.  


If your organisation has had the 'Manage duplicates' feature configured on your site:

  1. This process will still occur if a new match occurs to one or more of the candidate profiles that already has another type of duplicate marking.  The examples below show how the markings would display for; 'master profile' + 'duplicates may exist'; and a 'subordinate profile' + 'duplicates may exist'; ''not duplicate profile' + 'duplicates may exist' when a new match occurs:
  2. In addition to the above, the 'duplicates' may exist icon will re-appear if you remove another duplicate marking (e.g. subordinate profile) from the candidate profile, and there is still another candidate profile that is a match for the first name and last name fields.



3. Why does the candidate profile have a green ('not duplicate profile') and black ('master profile') head icon?

It is possible for a candidate to have both the 'not duplicate profile' and the 'master profile' icons applied to them.  An example of this might be when you have reviewed these three candidates and confirmed they are the same person:

  1. John Greg Smith (johngregsmith@aotal.com)
  2. Johnsmith@snaphire.com
  3. johnny@snaphire.com

You link them together and pick the first as the master.  


Then a new candidate registers and the 'duplicates may exist' icon appears, he has the same first name and last name as one of the group above"

  1. John David Smith (johndavidsmith@snaphire.com)


You review the new candidate details and determine that this is not the same John Smith as your earlier group.  You apply the 'Not duplicate profile' to the earlier group you linked, and this new candidate profile.  The master profile of the earlier group now displays both the 'not duplicate profile' and 'master profile' icon.
