Overview

Over the lifetime of a job it will move through various stages or status.  This article includes information about the default SnapHire job status options (please note that your organization may have customized these):


Draft

When you create a new job it will have the status of draft.  Typically a job stays in this status while information is being gathered about the role etc.


Waiting for approval

If your organization uses the Job Approval feature (to gain approval of the vacancy before recruitment activity commences), jobs in this status are currently in the approval process.


Not approved

If your organization uses the Job Approval feature (to gain approval of the vacancy before recruitment activity commences), jobs in this status have stopped the approval process as it was not approved.  These jobs may be edited and resubmitted for approval.


Approved

If your organization uses the Job Approval feature (to gain approval of the vacancy before recruitment activity commences), jobs in this status have successfully completed the approval process.


Open

Open status is typically used for jobs  that you are actively carrying out recruitment activity on.  When a job is in the status of open, it also has a visibility setting of either:

  • All:  The job is visible on your careers site to internal and external candidates, as well as to sourcing agencies who you have invited to assist with this job.
  • Internal only:  The job is visible on your careers site to internal candidates only, as well as to sourcing agencies who you have invited to assist with this job.
  • External only:  The job is visible on your careers site to external candidates only, as well as to sourcing agencies who you have invited to assist with this job.
  • Not visible:  This job will not be visible to internal or external candidates, but sourcing agencies invited to assist with the job will still be able to submit applications on behalf of candidates.  Jobs automatically change to this status when the application close date and time set for the job have passed.


TIP:  For the advertising of a job to be successful it must be visible to the intended audience.  The exceptions to this are:

  • the Unlisted link feature which does not require the job to be visible on your careers site.
  • Inviting staffing (recruitment sourcing) agencies to submit applications to jobs you have associated them with - agencies can submit applications to jobs that are open but not visible.


On hold

This status can be used if a recruiting activity pauses for a variety of reasons.  If you have invited staffing (recruitment souring) agencies to assist with this job, the agents will still be able to submit applications on behalf of candidates.


Closed

This status is used for jobs where the recruitment activity has been completed for this role, whether the job was filled or not.


Archived

We recommend you use this status for test/training jobs to make it easier to exclude from reporting if required.
